Every few months I watch a photographer post in a forum asking why their images looked different in the afternoon than they did at noon, even though they were shooting in a windowless studio. The answers they get are usually wrong. People guess it’s their monitor, or their white balance, or bad luck. It’s almost never those things. It’s the temperature drift in their strobes, and it’s a workflow problem, not a gear problem.
I’ve been shooting commercial and editorial work out of my studio in Los Angeles for long enough that I’ve made most of the expensive mistakes already. The one that cost me the most, both in money and in professional embarrassment, came early in my career when I ruined an editorial shoot by failing to calibrate my lights at the start of the day. The strobes had been cold. By the third set change, they were warm. Every frame from the first hour had a slightly cooler cast than the rest. The client caught it in post-production, not me. I’ve never walked onto a set since without running a calibration sequence first.
What I want to share here is the actual workflow I use now, with real numbers and real steps, because “be consistent” is advice that doesn’t help anyone.
The First 45 Minutes Are Not Optional
When I arrive at the studio, I turn on every strobe immediately. Not just the ones I plan to use first. All of them. Profoto D2 monolights need roughly 20 to 30 pops to reach stable color temperature output from a cold start. I pop each head five times at full power, wait two minutes, and pop them five more times. I do this before I touch a single modifier or move a single stand. The math on why this matters: a cold strobe can drift 150 to 200 Kelvin between its first pop and its 40th. That’s enough to shift warm skin tones into a territory that looks sallow on camera and takes 20 minutes to fix in Lightroom.
I have a strip of masking tape on every light in my studio. I know that sounds obsessive, but when you’re running four heads with two different sets of gels and three assistants moving things around, you need to know at a glance which light is your key, which is your fill, and what’s parked as a backup. The tape costs nothing. The confusion it prevents is worth an enormous amount.
Building the Lighting Recipe Before the Talent Arrives
I use a lighting diagram app I put together myself. It’s not pretty, but it does exactly what I need: I can sketch the setup, note the power settings, record the modifier, and log the camera distance and angle. I call these my lighting recipes, because that’s exactly what they are. A recipe is repeatable. A vibe is not.
For a standard beauty setup I come back to often, my key light is a Profoto Octa 3-foot at roughly f/8 at ISO 100, positioned at 45 degrees to camera right and about two feet above eye level. Fill is a large flat reflector camera left at 1:4 ratio, nothing powered. Hair light is a gridded strip box directly above and behind the subject at f/5.6. Those aren’t suggestions. Those are the starting numbers. I confirm them with a Sekonic L-858D before the talent walks in.
Every shoot day, I also shoot a gray card and an X-Rite ColorChecker Passport within the first five frames. This takes 45 seconds and saves me from any conversation about color accuracy later. It also gives me a clean profile to apply in Capture One Pro before I’ve looked at a single image.
The Set Change Protocol That Keeps the Day Moving
Set changes are where time dies. I’ve seen shoots lose an hour and a half to disorganized transitions between looks, and that time always comes out of the shoot itself.
My protocol is simple: before we break for the wardrobe change, I photograph the current setup from two angles with my phone and log the power settings in the app. Then I park every light against the wall in order of next use, labeled. When we come back, rebuilding from the photograph and the notes takes five minutes instead of twenty. On a six-look editorial day, that’s potentially an hour returned to the actual shooting.
I also keep a printed copy of the shot list on a clipboard on my camera cart, not on my phone. Phones get used for too many things on set. A clipboard stays where it is.
What I Actually Test When a New Modifier Arrives
I test every new modifier the day it arrives. Not because I’m eager, though I usually am, but because I need to know what it actually does before I’m standing in front of a client with it.
My test sequence is always the same. I shoot a white foam board at f/8, ISO 100, 1/125th, from three distances: four feet, seven feet, and ten feet. This tells me the falloff behavior and the effective field coverage. Then I shoot a face, usually mine, at a 45-degree key position, same settings. I look at catchlights, edge quality, and how the shadow falls under the nose and chin. A modifier that looks beautiful on foam board sometimes creates a shadow pattern on a face that I’d never use for beauty work.
The last modifier I tested this way was a 47-inch parabolic from a brand I hadn’t used before. Foam board test looked extraordinary. Face test revealed a hot center that was too specular for the beauty editorial work I had coming up. I use it now for product work where that punch is an asset.
The Note That Pays Forward
Your future self is the most important person on your crew. Every lighting journal entry I write, every diagram I sketch, every masking tape label I stick to a stand is a message to that person. The shoot that goes wrong is almost never the one you planned carefully. It’s the one you decided to wing because you’d done something similar before.
Treat every setup like you’re explaining it to someone who needs to replicate it without you there. Eventually, that someone will be you, six months from now, trying to match a look a client loved and can’t quite describe.
